CASE STUDY
How one financial planner grew 35% while cutting his tech spend 70%, without hiring anyone.
THE CLIENT
A founder-led financial planning firm whose growth was capped by its own technology.
Michael Piccoli runs Shift Financial Planning, the kind of practice clients stay with for decades because the relationship is the product. He had a decade of refined process and a loyal client base. What he did not have was a way to grow it without hiring.
THE PROBLEM
Nearly a dozen tools, none of them talking, and Michael stuck in the middle.
Wealthbox for the CRM. Levitate for email. Zoom for calls. Right Capital for the client portal. A separate compliance portal. Jump for meeting notes. Microsoft Office. WordPress. None of them talking to each other.
Every client took more work than it should have, because Michael was the integration layer. He was at capacity and stuck reacting, and the only way to grow was to hire. His most scalable idea, a $97/month membership, had no runway, because the runway was him.
"I didn't have a technology gap. I had twelve of them, none of them talking."
- Michael Piccoli
WHAT WE DID
We made one principle an obsession: the leanest possible tech stack.
We moved the practice onto Google Workspace and retired overlapping tools like Zoom and Jump. We transcribed every client-facing call, so nothing was lost and compliance was handled by default. Then we built Michael a single database running both his back-end CRM and his client-facing portal, so his whole practice ran from one place.
Month 1: we audited the full stack and mapped every tool, workflow, and place client data lived. Month 2: consolidated onto Google Workspace and built the single-database CRM and client portal. Month 3: migrated the practice over, wired up call transcription, and got Michael running proactively. No pause in the business, and no new hires.
Michael went from reactive to proactive. Today he sends every client a quarterly update built automatically from their conversations, their emails, and their activity in the portal, so nothing slips no matter how a client shares it. To the client, it reads as an advisor who remembers everything and wastes none of their time. That is a retention engine, and it runs itself.
THE RESULT
80%
Lower annual technology spend, with no loss of capability.
"I used to run my practice out of a dozen tools and my own memory. Now it runs from one place, costs me a fraction of what it did, and I have grown without hiring anyone. I walk into every client conversation already knowing what matters to them. That is not a software upgrade. It is a different business."
